Job Description

The Manager – Enterprise Operations is a trusted strategic partner to the Executive Leadership Team, enabling enterprise priorities through disciplined executive rhythms, proactive planning, and clear, effective communication. Anchored in executive support, the role brings structure, consistency, and intentional prioritization to how leaders spend their time and attention in a fast paced, global environment.

Designed for a highly trusted individual contributor, this position acts as a force multiplier for senior leaders - anticipating needs, facilitating strategic initiatives, and ensuring executive time, meetings, and deliverables are aligned to enterprise priorities. The role strengthens the connective tissue across Operations leaders, teams, and Cielo offices worldwide by thoughtfully improving executive effectiveness, decision making, and organizational clarity.

Location: Onsite x5 days - Wauwatosa, WI, USA 

Work Pattern: Monday to Friday 

 

Duties and Responsibilities:

  • Support executive operating rhythms, including leadership meeting cadences, agenda standards, calendar hygiene, and prioritization of executive time to ensure focus remains aligned with enterprise priorities.
  • Anticipate executive needs by proactively preparing materials, logistics, and resources in advance of critical deadlines, including agenda development, meeting facilitation, documentation, and follow‑through on action items.
  • Coordinate complex domestic and international travel with strategic foresight, ensuring seamless transitions, optimized schedules, and minimal disruption to executive priorities.
  • Enable effective executive decision‑making by synthesizing context, preparing concise briefings, and maintaining well‑organized, accessible documentation.
  • Support highly confidential and sensitive executive and enterprise initiatives as assigned, exercising exceptional judgment, discretion, and integrity.
  • Identify operational gaps and opportunities, recommending and implementing solutions that enhance efficiency, clarity, and consistency across executive and organizational workflows.
  • Manage Board‑related cadences and deliverables, serving as a liaison to the Board of Directors by coordinating schedules, preparing and organizing materials, tracking timelines, and ensuring executive readiness with professionalism, discretion, and confidentiality.
  • Partner with Executive Leadership and Corporate Communications to support external executive messaging, including LinkedIn presence, thought leadership articles, and external publications—coordinating content, timelines, approvals, and alignment with enterprise messaging.
  • Draft and distribute executive and senior leadership communications including internal updates, announcements, and operational messaging ensuring clarity, consistency, and appropriate tone.
  • Partner with the Director of Corporate Communications to support company‑wide meetings, all‑hands, and cross‑team initiatives, owning logistics, agenda coordination, follow‑ups, and stewardship of the global organizational calendar.
  • Maintain internal documentation, shared calendars, enterprise communication channels, and select corporate systems (e.g., intranet updates, executive meeting cadences) to promote alignment, transparency, and operational continuity.
  • Support company culture and engagement through the coordination of internal events, the Milestone program, and key employee initiatives that reinforce connection and organizational priorities.
  • Maintain consistent standards, processes, and communications across all global offices to ensure compliance with ISO certification requirements and enterprise governance expectations.
  • Monitor cross‑office needs, trends, and operational challenges, proactively escalating risks and recommending improvements that enhance effectiveness, alignment, and cost efficiency.
  • Manage global office‑related expenses within approved budget parameters, optimizing shared resources, vendor relationships, and global shipments to drive fiscal discipline and operational consistency.
  • Orchestrate executive and leadership office visits worldwide, ensuring local team communication, logistics, and event coordination are thoughtfully planned and seamlessly integrated into broader travel schedules.
  • Provide strategic oversight of global headquarters office operations, including facilities administration, vendor partnerships, supply planning, and related logistics to deliver a high‑quality workplace experience.
  • Oversee front‑desk operations to ensure a consistently professional, welcoming experience for employees, visitors, and external partners.
  • Manage office supply strategy—including food, beverages, and workplace essentials—balancing cost efficiency, quality standards, and employee experience.
  • Partner with building management and external vendors to maintain a safe, functional, and efficient workplace environment.
  • Other duties as assigned.

Qualifications

Position Requirements

Education:

  • High School Diploma or equivalent, required.
  • Bachelor’s Degree, preferred.

Experience:

  • 1–3 years of progressively responsible experience in operations, executive or administrative support, project coordination, customer service, hospitality, or a related field.
  • Experience supporting senior leaders and handling confidential matters with a high degree of discretion, professionalism, and sound judgment.
  • Proven ability working across time zones and collaborating with globally distributed teams, balancing competing priorities with flexibility and responsiveness.

Exposure:

  • Demonstrated strength in organization, prioritization, and follow‑through, with the ability to anticipate needs and act proactively in a fast‑paced environment.
  • Strong written and verbal communication skills, with the ability to convey information clearly, professionally, and with appropriate judgment across audiences.
  • A continuous improvement and operational excellence mindset, with a track record of identifying opportunities to refine processes and improve effectiveness.
  • Strong proficiency in the Microsoft 365 suite, particularly Excel, PowerPoint, and Outlook, with the ability to produce clear analyses, executive‑ready presentations, and well‑structured documentation that support decision‑making.
  • Demonstrated curiosity and hands‑on transformation mindset, with experience actively testing, adopting, and integrating new tools, technologies, and agentic or AI‑powered solutions to automate tasks, streamline workflows, and improve day‑to‑day execution.
